Welcome to Conboarding ("we," "our," or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website (conboarding.com) or use our SaaS platform, client portals, and related services (collectively, the "Services").

2. Our Role: Controller vs. Processor

As a Data Controller: When you create an agency account with us, we collect your information (name, email, billing details) to manage your subscription and market our services to you. In this capacity, we act as the Data Controller.

As a Data Processor: When you (the Agency) use our platform to collect data, files, signatures, and secure secrets from your end-clients via our Portals, you are the Data Controller of that information. We process this data strictly on your behalf and in accordance with your instructions.

3. Information We Collect

• Account Information: Name, email address, password, company name, and industry when you register.
• Billing Information: We use Paddle as our Merchant of Record to process payments. We do not store full credit card numbers on our servers; this is handled securely by Paddle.
• Client Data: Information submitted through Conboarding portals, including text, files, images, videos, digital signatures, and encrypted secrets (e.g., passwords).
• Usage & Behavioral Data: IP addresses, browser types, operating systems, and interaction metrics (including heatmaps and session replays via Microsoft Clarity and Google Analytics) to improve our Services.

4. Sub-processors and Third-Party Infrastructure

To provide our Services, we rely on trusted third-party infrastructure providers:

• Database & Authentication: We use Supabase to securely store your data, client submissions, and manage user authentication.
• Hosting & Cloud Infrastructure: Our platform is deployed and hosted on Vercel.

5. Analytics, Cookies, and Advertising Pixels

On our public-facing marketing website, we use various tracking technologies to understand user behavior and measure the effectiveness of our advertising campaigns. Note: We strictly isolate these tracking pixels from your secure client-facing onboarding portals to protect your clients' privacy.

• Analytics: We use Google Analytics and Microsoft Clarity to track website traffic, user journeys, and page interactions.
• Advertising Pixels: We use tracking pixels from Meta (Facebook), TikTok, X (Twitter), and Google Ads. These tools may collect your IP address, browser information, and browsing activity on our marketing site to serve you targeted advertisements on other platforms.

You can manage your cookie preferences through your browser settings or opt out of targeted advertising via the respective ad platforms.

6. Artificial Intelligence (AI) Features

Conboarding utilizes Artificial Intelligence (AI) for specific features, such as AI Video Intake and AI Auto-Fill. When using these features, relevant data is securely sent to our third-party AI sub-processors. We do not allow our AI providers to use your or your clients' personal data to train their foundational models.

7. Secure Secrets & Encryption

When your clients submit sensitive credentials via the "Secure Secret" field, that data is encrypted in transit and at rest within our Supabase database. We employ industry-standard cryptographic protocols to ensure that these secrets remain secure.

8. Your Data Rights (GDPR & CCPA)

Depending on your location, you may have the right to:

• Request access to your personal data.
• Request correction or deletion of your personal data.
• Object to or restrict the processing of your data, including opting out of tracking pixels.
• Request data portability.

Note: If you are an end-client who submitted data to an Agency using a Conboarding portal, you must contact the Agency directly to exercise these rights, as they are the Data Controller.
